A completed check proves what was known at a particular moment. It does not guarantee that the document is still valid, the role is unchanged or the worker remains cleared today.

The gap between stored evidence and current evidence

Many applicant tracking systems can store a document and a completion date. That is useful administration, but it is not the same as live recruitment compliance verification. Current assurance needs status, expiry, scope and decision-time evidence.

Build compliance around change

Track time-based change

Expiry dates, renewal windows and client-specific cut-offs should trigger action before a placement is affected. The system should make an approaching gap visible, not simply archive the old certificate.

Track role and assignment change

A candidate who is suitable for one location or duty may need different evidence for another. Re-check requirements when the job, site, client or responsibility changes.

Verify at the decision point

Continuous does not mean uncontrolled automation

Automated reminders and status rules can improve consistency, but exceptions need a named human owner. The limits of ATS compliance records become clear when a stored item is mistaken for an active decision.

Make the evidence easy to inspect

A defensible workflow shows what was checked, against which requirement, when, by whom and with what outcome. That gives recruiters, clients and candidates a clearer route through the decision while preserving human accountability.
